Terms & Conditions of Hire

All Terms and conditions are legally binding, correct and comply with current legislation at the time of publishing. Services

All Services which appear on the website are subject to availability.
The description of the services and any goods is as set out in the website, brochures, or other form of advertisement. Any descriptions is for illustrative purposes only and there may be small discrepancies in the size and colour of any goods supplied.
In the case of services and any goods made to your special requirements, it is the clients responsibility to ensure that any information or specification provided is accurate.
We can make changes to the services which are necessary to comply with any applicable law or safety requirement. We will notify of these changes if applicable.
Token Events can transfer the benefit or part of this contract to a service provider, and will remain liable to the client for its obligations under the contract as the primary supplier.

Hire Duration

Our hire period is for a single event, minimum a single day. Multiple days or extensions can be agreed in advance for an additional charge.
The hire period includes time for Token Events to deliver, install if applicable and collect only.
We typically deliver the day before and collect the day after, however this may vary.
The delivery and collection time will be arranged by Token Events and subject to our terms and conditions.
If you need to set up and dress our equipment the day before your event we advise you hire the stock for an extra day so we can deliver the day before you need it.
The hire items shall at all times remain the property of Token Events.
The customer is responsible for the care of the items during the hire period from the time of delivery/collection until the items are collected/returned and accepted back into the possession of Token Events.

Delivery and Collection by Tokens

Token Event reserves the right to charge a delivery service fee. This may be dependant upon the quantity of items hired and the distance for delivery. All and any charges will be agreed prior to booking confirmation.
Token Events will make every effort to deliver and collect goods at an agreed specified time, however it will not, under any circumstances, accept liability for any expense created by the customer for any delay in delivery or collection.
We designate a 2-3 hour time slot for your delivery. We try our best to keep to this schedule. You will be informed if we are due to be later than one hour past your designated delivery window.
We, Token Events, need access for our van to deliver to your venue drop-off point.
Access must be accurately relayed to Token Events so we can price the job accordingly and arrange an appropriate drop-off team and schedule this effectively. Failure to do so may result in additional charges being applied retrospectively.
As standard, Token Events supply two persons for delivery and collection and require the client to arrange appropriate additional staff/persons to unload and carry if necessary.
Upon receipt of the items, the customer must inspect all items. In the event of shortage or damage, it is the customer’s responsibility to mark this at the time of delivery. If the customer fails to do this, the items will be deemed to have been delivered in a clean and undamaged condition. Equally, if there is no-one available to check the items, they will be deemed to have been delivered in a clean and undamaged condition.
Token Events hire equipment and items are to remain in the venue delivered to, and shall not be subject to any subletting or further transportation without prior consent from Token Events. Failure to comply with this condition will result in immediate termination of the hire agreement; with no compensations due to the client and any costs incurred by Token Events will be charged onwards to the client.
The customer agrees to return the items/prepare the items for collection, at the time period agreed or specified in Token Events delivery sheet. Failure to return/prepare the items on time will result in an additional 10% charge of the total hire.
Some items will be delivered in secure packaging. Items should be returned to us in this packaging to avoid damage to items during transport.

Collection and Delivery by Client

If agreed by us, items can be collected from our depot at the time period agreed at time of booking.
Transportation of items must be blanket tied (provided by client) in transit to prevent undue damage and wear and tear.
Token Events hire equipment and items are to remain in the venue specified upon placing your order, throughout the duration of the clients hire agreement, and shall not be subject to any subletting or further transportation without prior consent from Token Events. Failure to comply with this condition will result in immediate termination of the hire agreement; with no compensations due to the client and any costs incurred by Token Events will be charged onwards to the client.

Responsibilities

All hired stock is the responsibility of the hirer whilst in their possession

(It is strongly advised that you obtain suitable insurance for all items hired from Token Events)

Damages

The stock is for indoor use unless otherwise stated so must be stored inside (a marquee is acceptable)
Damages will be charged dependant on the individual item

Security

The stock must be stored securely at all times as stolen items will be charged including loss of hire damages.

Cleaning

All goods will be supplied in a clean, ready to use condition.
All items should be returned in an equally clean condition.
Failure to return items in a clean condition will result in cleaning charges retrospectively.

Health & Safety Information

The Hirer must take all reasonable care for their own health and safety, and for the health and safety of others who may be affected by their actions, omissions or the use of equipment. The Hirer and any persons/ appointed Contractor working on their behalf must comply with all relevant health and safety legislation and any measures implemented by Token Events at the time of delivery.

Liability and Indemnity

Unless caused by the negligence or wrongful act of Token Events, its officers, or employees, the Hirer shall indemnify and hold harmless, Token Events, its officers, and employees in full against any claim arising from the Hire in the event of:

The death of, or any injury caused to any person in connection with the use of Token Event’s stock;
Damage to, or Loss of, any equipment, goods, articles or property used in conjunction with the stock on hire by the Hirer or any other person or organisation;
Any claims, actions, damages, liabilities, fines, costs (including professional fees) or expenses arising in any way from the Hire Agreement and arising out of the acts or omissions of the Hirer, its guests, employees, agents or contractors, save to the extent that any such claim arises as a result of the negligence of Token Event’s, its employees or agents.
Token Events shall not be liable to the Hirer by reason of any loss or damage sustained or inconvenience caused as a result of, or in any way arising out of cancellation or rescheduling.
Token Events shall not be liable to the Hirer by reason of any delay in performing or any failure to perform any of Token Event’s obligations in relation to the Event if such delay or failure is due to any cause beyond Token Event’s reasonable control.
In receiving this document and entering into a hire agreement, the Hirer agrees to be bound by the terms of this hire agreement.

Insurance

It is strongly advised that you obtain suitable insurance for all items hired. All breakages/damages/losses will be charged accordingly, including charges for loss of hire.
Token Events hold Public Liability Insurance and this can be provided upon request.

Terms of Payment

Upon placing an order, a 30% of the hire cost is required to secure your order. This amount is in addition to your hire items and is used as a security deposit for any potential breakages, damages and losses. This will be refunded once the balance has been paid and all items have been returned and checked. Any charges will be deducted from this amount if necessary. Should the cost of the damages exceed the security deposit amount, then an additional invoice will be issued for these costs. Damage costs will be applied in respect of time taken to repair damage. If items are beyond repair or lost, items will be charged at current market rate as well as for future losses of hire.
The balance of your hire charge must be paid at least 60 days prior to the start of the hire period, along with any additional hire or delivery charges.
Payments may be made via cheque, BACS, or card if attending our premises. Specific payment details will be given at the time of placing your order.

Cancellation

Cancellations must be made in writing to Token Events.
Subject as stated in these Terms and Conditions, you can cancel this contract within 14 days of placing your order. These cancellations rights, however, do not apply, to an order/purchase/contract for the following goods and/or services;
Goods that are made to your specifications or are clearly personalised;
Goods which are liable to deteriorate or expire rapidly;
Goods which are purchased and dispatched (with costs) via Token Events website.
The following cancellation charges will apply based on the notification period given:

With all cancellation you will be charged 30% of the hire costs.

With late cancellations you will be charged additionally as below.

8- 2 weeks before the event date 50% of full hire cost will be charged

Under 2 weeks before the event date 100% of full hire cost will be charged
